How to send emails without doing SPAM and complying with the LOPD and GDPR

Until now, if a user did not expressly oppose the processing of their personal data to receive information from your entity ('spam') it was interpreted as a tacit consent that allowed you to continue with this activity. Now things have changed!

With the entry into force of the new Law on Data Protection, this activity is limited, since the consent is expressly, clearly and unequivocally required by the user so that any organization can process personal data.

Neither are the consents given before the date of full validity of the rule valid, so you must re-collect them.

Think that the optimal rate of 'Spam' should be below 0.1% and if you do not want to be closed or your account is reviewed it is important to comply with the new LOPD and have a "clean" database.



 

We propose the following:

1- stop sending massmailings and newsletters
2- clean the databases by eliminating all those recipients whose names and surnames do not have
3 - seriously consider compliance with the LOPD and GDPR by which to maintain personal data (email) in a database is necessary to have express authorization.


Evaluate if your current email lists comply with the law to prevent SPAM


Do your lists meet the RGPD? To know, ask yourself these questions:


Did your contacts give consent to receive your emails through a voluntary subscription form?

Did the user give consent for the specific purpose for which you are using their data? For example, if you only subscribed to the newsletter, it is not enough consent to use your data in other shipments

Did you create accurate and safe records of all the registrations you received?


What is the authorization for?

As we mentioned in point 2, the inclusion of an email address in a database is not a blank check, but is focused on specific purposes.
 
And when there are different purposes within the same organization, a legitimating basis is needed for each treatment.
 
For example, an email or a phone number that was requested to notify any service does not authorize you to send information of any campaign to donate or send newsletters.
 
Therefore, there are organizations that include several boxes in the authorizations for all types of purposes, including one that selects all automatically. This is not valid either.

We have just launched the new website of the League of Peoples' Rights, an entity whose objective is the defense of human rights and the rights of peoples, the promotion of the culture of peace and the social transformation from respect mutual and solidarity.

During the advisory session we worked on many aspects of the web and communication on the Internet to help the entity improve its online presence.

- Web Tool

The 'Lliga' has a main web: http://www.dretsdelspobles.org through which several sub projects were derived:

Some of these projects were worked with Joomla and others with Wordpress. From iWith.org we recommend simplifying and using all these projects in a single tool to give a more unified response to the entity's needs that were mainly: having independence and ease of content editing.

- Editing in context

The entire web had to be able to be editable by La Liga and that is why we recommended using the Abcore Cadí platform. A software that allows you to work without losing the context of the web with all the integrated communication tools.

- Design

The League aimed to homogenise the design of all web spaces, and in this sense, we considered it necessary to reunite the projects under the same brand criteria. In addition, we made a new, more attractive, responsive design.

The new website has been developed based on the needs of the League. The page is full of functionalities that allow to simplify the life of the entity. For example, to write the main text of an event in one go and, later, to easily create the news; the calendar; the map; the bulletin; the different languages; the registration form, etc. All integrated, saving hours of management.

This entity is one of the partners of the iWit.org project, Turn Online.
 



First of all, what is Projuven and what is the mission of the organization?
 
The main aim of PROJUVEN is to create opportunities for young people who would like to be an active, try and learn something new and gain new experience and knowledge for personal and professional development.
 
We foster the dissemination of information about the initiatives and opportunities promoted by the European Union in different fields, through both internet and social networks, and organizing specific public events. Some of our objectives are to promote young mobility, intercultural exchange, volunteer and social cooperation among youngsters, to stimulate the exchange of ideas and experience, mutual understanding, and equal rights and opportunities among youth in Europe as well as to promote active citizenship and solidarity. 
 
  • In what sense do you manage tools for the digital management of volunteers?
 
Being active in digital education and relying on volunteers in our organization is fundamental. Consequently, one of our priority is to empower youth workers and volunteers to fully exploit all the potentials of digital education and digital skills, as well being able to transfer those skills to low skilled young people in our community.
 
  • Do you have very interesting project on this topic. Could you explain some of them?
 
Some months ago, we finished our KA2 project “eSkills for Volunteers”, a Strategic Partnership in the field of Youth, supported by the Erasmus Plus programme of the European Commission and INJUVE Spanish National Agency. The project was coordinated by PROJUVEN with the collaboration of the following partner NGOs: Associazione di Promozione Sociale Futuro Digitale (Italy), Associao Intercultural Amigos da Mobilidade (Portugal) and Asociatia GEYC (Romania).
 
 
Another project in which we are working actively in the “digital field” is the KA2 Strategic Partnership “Volunteers 4 ALL”, coordinated by the Bulgarian NGO Alternativi International, where partner NGOs are PROJUVEN, Futuro Digitale (Italy) and OEJAB (Austria). the digital tools that NGOs use in their refugee work; and the digital tools which refugees use during their journey.
 
  • What other initiatives or projects are organized in Projuven?
 
PROJUVEN is working in different fields, dealing with many projects. Our favourite topic is the digital one but we also work on topics such as entrepreneurship, youth unemployment, project management (mainly focus on Erasmus Plus projects), prevent radicalization of young people, raise public awareness about refugees and asylum seekers.
 
  • How is the level of digital technology among volunteers?
 
All youth workers working in PROJUVEN have good knowledge of digital tools while the level of volunteers coming to our organisation is very different. Indeed, we can state that we have volunteers very skilled and at the same we have volunteers with no knowledge at all of digital tools. For last ones, we organise periodically several workshops about the use of different digital tools where we explain to volunteers with no knowledge how to use them and how they are important for their social and professional life.
 
 
  • You have collaborated with an initiative organized by the Catalan project Turn Online. How do you value this experience? 
 
For us being partner in TURN ONline project is a great chance to exchange good practice and learn new things, collaborating with professional NGOs from all over the Europe.
 
During the project, project consortium realized different researches regarding the needs of youth NGOs in Europe, elaborated online platform for promoting digital tools among young people and professionals, organized workshops in each partner community, had two training events where youngsters learn about the importance of online activism and digital tools for non-formal education as well as prepared the digital guidelines “Digital tools for non-formal education”.
 
In addition, I would like to mention the upcoming conference that will be held in February in Barcelona where partners will present the final results of TURN Online project.
